A five-step checklist for digitising records

How to move from paper files to a searchable, permission-controlled records system.
Digitising records fails when it is treated as a scanning exercise. Treat it as a workflow project instead.
1. Map the paper trail. Who creates, approves and retrieves each document?
2. Agree a naming and retention policy before a single page is scanned.
3. Set permissions by role, not by person.
4. Scan in batches, verify samples, and record who verified them.
5. Retire paper only after users have worked from the digital copy for a full cycle.
The result is a records system people actually trust.
